How AdaptixCore handles information.

This Privacy Notice describes how AdaptixCore (operated by FusionEMS Quantum LLC) handles information collected through public marketing surfaces (this website), authenticated operator surfaces (the agency workspace), and integrations that operate on behalf of an agency that has executed a written agreement with AdaptixCore.

Information that an operator submits inside an authenticated agency tenant is governed by that agency's configuration, the Business Associate Agreement (BAA) executed between AdaptixCore and the agency, and the agency's own privacy and HIPAA practices.

Marketing intake. Name, work email, organization, contact preferences, and the contents of free-form fields you submit on public forms (Request a Demo, Contract Signup, Investor Inquiry, ROI estimator). This data is used to respond to the inquiry and is not used for advertising.

Authentication. Email, agency identifier, password hashes, MFA enrollment metadata, IP address, user-agent, and audit timestamps necessary to operate sign-in, session management, and security monitoring.

Operational data.Records created inside the authenticated workspace — dispatch events, charts, claims, communications — are stored under the agency tenant the operator is signed in to. This data is governed by the agency's BAA with AdaptixCore.

Protected health information (PHI). PHI is processed only inside authenticated workflows by users your agency has authorized. Do not submit PHI through any public intake form on this website.

Marketing intake is used to respond to your inquiry and to schedule follow-up with our team. Authentication information is used to operate sign-in, enforce multi-factor authentication where required, and detect abuse. Operational data is used to deliver the contracted services to your agency under the executed BAA.

AdaptixCore does not sell personal information. AdaptixCore does not use PHI for marketing or to train third-party AI models. AI features inside the workspace are scoped to the agency's own tenant and are operated under the same BAA as the rest of the platform.

AdaptixCore uses a controlled set of subprocessors to deliver the platform. These currently include cloud infrastructure (Amazon Web Services), a clearinghouse for claims submission (Office Ally), payment processing (Stripe), transactional email (Amazon SES), telephony for billing (Telnyx), realtime audio for crew operations (LiveKit, self-hosted), physical mail for billing statements (PostGrid), and identity (Amazon Cognito). Each subprocessor is bound by contract and, where PHI is involved, by a written BAA.

A current list of subprocessors is available to agency administrators on request to legal@adaptixcore.com.

Marketing intake records are retained for the lifetime of the customer relationship plus a commercially reasonable period for audit and legal-hold purposes. Authenticated workspace records are retained per the agency's BAA, applicable state EMS retention rules, and HIPAA. Audit logs are retained for a minimum of six years.

Agencies may request export or deletion of tenant data per the BAA. Public-form submitters may request deletion of their inquiry record by writing to privacy@adaptixcore.com.

All AdaptixCore network traffic is encrypted in transit (TLS 1.2 or higher; HSTS enforced on adaptixcore.com). Data at rest is encrypted with provider-managed keys. Access to production data requires multi-factor authentication for privileged users. Audit activity is captured on the platform and forwarded to a tamper-evident audit log.

AdaptixCore practises least-privilege access, tenant isolation, role-based access control, and centralized observability with continuous security monitoring. Real-time security concerns should be reported to security@adaptixcore.com.

If you are a patient who received care from an agency that uses AdaptixCore, your rights regarding your health information are governed by HIPAA and your provider's privacy practices. Direct individual-rights requests (access, amendment, accounting of disclosures, restriction, confidential communication) to the provider that delivered your care.

If you submitted information through a public form on this website, you may request access, correction, or deletion of that record by writing to privacy@adaptixcore.com.

AdaptixCore production infrastructure operates in the United States. Public marketing assets are delivered through a content delivery network with global edge locations; the origin remains in the United States.
